1. Welcome to Arch

Welcome to Arch, a wedding planning platform operated by Arch Wedding Ltd (“Arch”, “we”, “us” or “our”).

Arch helps couples organise their weddings through planning tools, guest management, invitations, wedding websites, supplier discovery, AI-assisted planning and personalised stationery.

These Terms of Service (“Terms”) explain the conditions under which you may access and use Arch.

By creating an account or using the platform, you agree to these Terms. If you do not agree, you should not use the platform.

Some services, including supplier accounts and stationery purchases, are subject to additional terms. We will identify those terms where they apply.

Our details

  • Legal business name: Arch Wedding Ltd

  • Registered office: 37 Brunstane Drive, Edinburgh, EH15 2NF
  • Contact email: support@archwedding.com

2. Who Can Use Arch

You must be at least 18 years old to create an Arch account or purchase paid services, unless we expressly permit otherwise.

You must provide accurate account information and keep your login credentials secure.

You are responsible for activity carried out through your account, except where it results from our failure to meet our obligations.

You may invite a partner or other permitted collaborators to participate in wedding planning through Arch.

Guests do not need an Arch account to respond to invitations using their unique RSVP links or QR codes.

3. What Arch Provides

Arch provides digital tools intended to make wedding planning easier.

Depending on your subscription and the features available, these may include:

  • Wedding planning checklists and tasks.
  • Budget tracking and payment planning.
  • Guest lists, households and RSVP management.
  • Wedding menus and meal selections.
  • Seating arrangements.
  • Wedding schedules and timelines.
  • Public-facing wedding websites.
  • Digital invitations and RSVP links.
  • Supplier discovery, profiles and enquiries.
  • Ask Arch, our AI-powered planning assistant.
  • Personalised wedding stationery and related products.

Features may evolve as we improve the platform. We may make reasonable changes, introduce new features or discontinue features where necessary.

Where a change materially reduces a paid service, we will provide appropriate notice and any remedy required by law.

Arch is a planning platform. It does not itself organise, manage or guarantee the successful delivery of your wedding.

4. Wedding Accounts and Collaboration

A wedding workspace may contain information contributed by more than one person.

If you invite a partner or collaborator, you are responsible for understanding the access permissions available to them before sharing information.

People with authorised access may be able to view or edit shared wedding details, depending on their role and the features available.

You should only invite people you trust to access your wedding workspace.

If a relationship or planning arrangement changes, you should review access permissions promptly.

Arch cannot independently determine ownership of a wedding plan or resolve personal disputes between collaborators. Where an access dispute arises, we may take reasonable steps to protect accounts and personal information while the issue is assessed.

5. Guest Lists, Invitations and RSVPs

Arch allows wedding organisers to create guest lists, group guests into households, send or share invitations and collect RSVP responses.

Each household may receive a unique RSVP link or QR code.

These links act as access credentials. Anyone who obtains a valid household invitation link may be able to access the RSVP information available to that household.

You are responsible for distributing invitation links carefully and for ensuring that guest information you enter is accurate and appropriate.

Guests may submit information including attendance, meal choices, dietary requirements and other comments.

You should use guest information only for legitimate wedding-related purposes and share it only with people who reasonably need it.

Arch does not require guests to provide an email address to use a valid direct RSVP link.

If a guest loses their invitation, the wedding organiser can provide the relevant link or generate a replacement. Generating a replacement may invalidate the previous invitation link and QR code.

You are responsible for ensuring that guests receive any replacement invitation details.

6. Dietary Information and Guest Privacy

Arch allows couples to label meal options and guests to indicate dietary requirements or provide additional information.

Some dietary information may reveal allergies, health conditions, religious beliefs or other sensitive details.

You should collect only information reasonably necessary to arrange your wedding and should not request unrelated sensitive personal information.

Where you share dietary information with caterers, venues or other suppliers, you should limit that sharing to what is needed for the relevant service.

Dietary information entered by a guest is available to the wedding organisers within Arch. Arch does not currently grant suppliers direct access to individual guest dietary records; organisers may export, print or otherwise provide relevant information to a venue or caterer who needs it.

You may enter dietary information on a guest’s behalf for planning purposes. Arch does not treat information you enter as the guest’s consent: exports show it as “Added by couple — not confirmed” until the guest confirms it on their RSVP page. You are responsible for having an appropriate basis to record and share it.

Meal tags and guest responses are planning information, not a guarantee that a meal is free from allergens or suitable for a particular medical requirement.

Couples and guests should confirm critical allergy and dietary arrangements directly with the relevant caterer or venue.

How Arch processes personal information is explained in our Privacy Policy.

7. Guest Information: Data Processing Terms

This section forms the data processing terms required by Article 28 of the UK GDPR between you (the couple organising the wedding) and Arch.

Roles

For guest information you add or collect through Arch — including guest names, contact details, household groupings, RSVPs, meal choices, dietary information, seating and notes — you are the controller and Arch processes that information as your processor, on your documented instructions.

Your use of Arch’s features (for example adding guests, sending invitation links, exporting lists, building a table plan or ordering stationery) constitutes your documented instructions. Arch will inform you if it believes an instruction infringes data protection law.

Arch is an independent controller, and these processor terms do not apply, for: your own account and login; subscriptions, payments and billing; supplier listings and enquiries; security, fraud prevention and service improvement; legal, tax and accounting records; and our other business operations. That processing is described in our Privacy Policy.

Subject matter and duration

Subject matter: hosting and organising guest information to plan your wedding. Duration: for as long as your wedding remains on Arch, until deletion under these Terms.

Categories of data subject: your guests, including children you add. Categories of data: identity and contact details, attendance, meal choices, seating, notes and dietary information, which may include special-category data about health or religious belief.

Arch’s commitments

  • Process guest information only on your documented instructions, unless required by law (in which case we will tell you unless the law prevents it).
  • Ensure that people authorised to process guest information are bound by confidentiality.
  • Apply appropriate technical and organisational security measures, including access controls, encryption in transit and restricted administrative access.
  • Engage sub-processors only under written terms giving equivalent protection; you give general authorisation for the sub-processors listed in our Privacy Policy, and we will give notice of intended changes so you can object.
  • Assist you, taking into account the nature of the processing, in responding to guest rights requests and with security, breach notification, impact assessments and consultations.
  • Notify you without undue delay after becoming aware of a personal data breach affecting guest information.
  • Delete guest information at the end of the service, as described in these Terms, unless the law requires retention.
  • Make available information reasonably necessary to demonstrate compliance with these obligations, and allow for and contribute to reasonable audits.

Your responsibilities

You are responsible for having a lawful basis to collect and share your guests’ information, for providing guests with any information required by law, and for sharing guest information outside Arch (for example with a venue or caterer) only where necessary.

8. Wedding Websites

Arch may allow you to publish a wedding website containing information you choose to share with guests or other visitors.

You are responsible for reviewing the information before publishing it.

Wedding websites may be accessible to anyone who has the relevant URL. They should not be treated as private simply because they are not listed in search engine results.

Arch may apply measures intended to discourage search engine indexing, but we cannot guarantee that a website will never be discovered, copied, shared or indexed.

You must not publish another person’s sensitive information, photographs or other personal details without an appropriate basis for doing so.

You may unpublish your wedding website using the controls available in Arch, subject to any technical processing time.

9. Subscriptions and Paid Features

Arch currently offers paid couple subscription plans billed monthly. The active plans, features, supported currencies and prices are shown in the live pricing schedule below and at checkout.

Paid subscriptions may renew automatically at the end of each billing period unless cancelled.

By purchasing a recurring subscription, you authorise the applicable recurring charges described at checkout.

You can manage or cancel your subscription through the billing controls made available in your account.

A confirmed cancellation stops the next automatic renewal. Your paid access continues until the end of the current paid period, at which point your account and associated wedding data are scheduled for deletion, except information Arch is legally required to retain. You can reverse a scheduled cancellation before expiry; renewal will only resume after clear confirmation of the applicable recurring charge.

Any refund or statutory cancellation rights will be honoured in accordance with applicable law.

If a subscription expires or is downgraded, access to certain features may change. We will explain material restrictions before they apply wherever reasonably possible.

We will not increase the price of an existing recurring subscription without giving any notice, information and cancellation rights required by law.

Important: Any statutory cooling-off rights, renewal notices and cancellation arrangements applicable to your subscription will be explained at checkout and in the relevant purchase confirmation.

10. Stationery and Personalised Products

Arch may offer personalised wedding stationery, including invitations and other printed products.

These products may be manufactured and fulfilled by third-party production partners.

Product prices, personalisation options, delivery charges and relevant fulfilment information will be shown during the ordering process.

You are responsible for reviewing names, dates, addresses, wording, quantities and other personalisation details before confirming your order.

Where applicable, personalised products may have different cancellation rights from standard goods. However, your statutory rights concerning faulty, damaged or misdescribed products remain unaffected.

Full purchase conditions are set out in our Stationery, Shipping & Returns Terms.

11. Supplier Directory and Enquiries

Arch may display wedding suppliers, including venues, photographers, caterers and other service providers.

Supplier profiles may include information supplied by the supplier, reviews, pricing indications and promotional placements.

Some suppliers may pay for subscriptions, enhanced visibility or sponsored placements. We will identify paid promotion where required.

Arch’s inclusion of a supplier does not constitute a guarantee of that supplier’s quality, availability, qualifications or suitability.

Unless expressly stated otherwise, contracts for wedding services are entered into directly between you and the supplier.

You are responsible for reviewing quotations, contracts, deposits, cancellation terms and insurance arrangements before booking a supplier.

Arch is not automatically a party to those contracts and does not guarantee supplier performance.

Nothing in this section excludes liability for our own acts or omissions where the law does not permit that exclusion.

12. Ask Arch — AI-Assisted Planning

Ask Arch is an AI-powered feature intended to assist with wedding planning, ideas, organisation and general information.

AI-generated responses may be incomplete, inaccurate, outdated or unsuitable for your particular circumstances.

You should independently verify important information, including supplier details, prices, legal requirements, contracts, travel arrangements and health-related advice.

Ask Arch does not replace professional legal, financial, medical or other specialist advice.

Depending on the feature and conversation mode selected, information entered into Ask Arch may be available to permitted collaborators or restricted to the individual user.

You should check the relevant sharing mode before entering personal or sensitive information.

Additional conditions are set out in our Ask Arch AI Usage Policy.

13. Content You Upload or Create

You retain ownership of the original content you provide to Arch, subject to any third-party rights.

This may include photographs, wedding details, written content, invitation wording and other materials.

You grant Arch a non-exclusive licence to host, store, process, reproduce and display that content to the extent reasonably necessary to provide the services you request.

This licence does not transfer ownership of your content to Arch.

You confirm that you have the necessary rights or permissions to upload and use the content.

You must not upload content that infringes another person’s intellectual property rights, breaches privacy rights, is unlawful or is otherwise harmful.

We may remove or restrict content where reasonably necessary to comply with the law, protect users or enforce these Terms.

14. Acceptable Use

You must not misuse Arch.

In particular, you must not:

  • Attempt to access another user’s account or wedding information without authorisation.
  • Share or obtain invitation credentials for an unauthorised purpose.
  • Upload malicious software or interfere with platform security.
  • Scrape or systematically extract personal information without authorisation.
  • Harass, threaten, defraud or impersonate others.
  • Publish unlawful or infringing content.
  • Use Arch to send spam or misleading communications.
  • Attempt to circumvent payment, subscription or access restrictions.

We may investigate suspected misuse and take proportionate action where necessary.

15. Intellectual Property

The Arch name, branding, software, interface designs and other platform materials belong to Arch or its licensors.

These Terms grant you a limited, non-exclusive, non-transferable right to use the platform for its intended purposes.

You may not copy, resell, reverse engineer or commercially exploit our software except where permitted by applicable law or with our written permission.

Your rights in content you upload remain as described in Section 12.

16. Availability and Changes

We aim to provide a reliable service, but occasional maintenance, technical faults and interruptions may occur.

We may temporarily restrict access where reasonably necessary for security, maintenance or legal compliance.

We will take reasonable care in providing the services and will not use this section to avoid responsibility for failing to meet our legal obligations.

Where possible, we will give advance notice of material changes that affect paid features.

17. Suspension and Termination

You may stop using Arch at any time and may request account deletion through the available account controls or by contacting us.

A cancellation request or account-deletion request follows the same two-step closure flow for paid accounts: stop future renewal immediately, preserve access until the paid period ends, and then delete the account and associated wedding data. You can reverse a scheduled closure before expiry. Certain statutory records may be retained.

We may suspend or restrict an account where reasonably necessary because of serious misuse, security risks, fraud or legal requirements.

Where appropriate, we will provide notice and an opportunity to resolve the issue.

If we terminate a paid service without fault on your part, we will provide any refund or other remedy required by law.

Personal data may be retained after account closure where necessary for legitimate purposes or legal obligations, as explained in our Privacy Policy.

18. Our Responsibility

Arch provides tools to assist with wedding planning. The accuracy of wedding details, guest information and planning decisions depends partly on the information users enter.

We are not responsible for losses caused solely by incorrect information supplied by users, independent supplier failures or circumstances outside our reasonable control.

However, we remain responsible for losses arising from our own breach of contract, negligence or other circumstances where applicable law makes us responsible.

Nothing in these Terms excludes or restricts liability for:

  • Death or personal injury caused by negligence.
  • Fraud or fraudulent misrepresentation.
  • Breach of statutory consumer rights where exclusion is prohibited.
  • Any other liability that cannot lawfully be excluded or limited.

Your rights under applicable consumer protection law remain unaffected.

19. Privacy and Cookies

Our Privacy Policy explains how we collect, use, share and protect personal information.

Our Cookie Policy explains the cookies and similar technologies used by Arch.

Where required, we will seek appropriate permission before using non-essential cookies or similar technologies.

20. Changes to These Terms

We may update these Terms to reflect changes to our services, business operations or legal obligations.

Where changes materially affect your rights or paid services, we will provide appropriate advance notice and any cancellation or other rights required by law.

The latest version will be available on our website with its effective date.

Changes will not retrospectively remove rights you have already acquired.

21. Governing Law and Disputes

These Terms are governed by the laws of Scotland, subject to mandatory consumer protections that may apply where you live.

If you are a consumer resident elsewhere in the United Kingdom or another country, nothing in these Terms removes any mandatory rights or access to courts available to you under applicable law.

If you have a complaint, please contact us first so we can try to resolve it.

You retain the right to pursue any legal remedy available to you.
